2. What data do we process?

What you provide yourself. If you use the contact form or email directly, we process your name, email address, your phone number if you give one, the content of your message and any event details you choose to include.

What is added automatically. When the contact form is submitted, your IP address and browser details are added to the notification that arrives in the mailbox. That helps to recognise misuse of the form. We also record the page you reached the contact form from, any campaign parameters in the link you arrived through, the language of the form, how long the form stayed open and whether you used a phone, tablet or computer. That last point is derived from the same browser details; nothing extra is read from your device. After sending, your own browser briefly keeps your email address so the confirmation can show it — more about that in point 7. We use this to know which page led to an enquiry, to reply in the right language and to recognise spam.

Server logs. The hosting provider automatically records technical details of every visit: IP address, date and time, the page requested, the referring source and your browser and device details. These logs are needed to run and secure the website.

Spam protection. To prevent the contact form from being abused, the server temporarily stores an encrypted fingerprint of your IP address together with the time of submission. The address itself is not stored, and the data is deleted automatically after at most one hour.

3. Why do we process it?

We use your data to read your enquiry, reply to you, check availability, put together a suitable proposal and follow up the practical arrangements around a possible booking.

If a collaboration follows, data may also be processed for administration, invoicing, accounting and legal obligations.

The technical data is used to keep the website secure and working, to trace errors and to prevent misuse of the contact form.

4. On what legal basis?

For your enquiry we rely on the steps taken at your request prior to entering into a contract, and on the legitimate interest in handling enquiries properly.

For server logs and spam protection we rely on the legitimate interest in keeping the website secure and functional.

For administration and accounting we rely on the legal obligations that apply.

5. How long do we keep data?

Enquiries are not kept longer than needed to answer your question and follow it up. If no collaboration follows, your contact details are cleared once they are no longer useful.

Data that forms part of administration, invoicing or accounting is kept for as long as the legal retention periods require.

Server logs are erased automatically by the hosting provider after a limited period. The fingerprint used for spam protection disappears after at most one hour.

6. Who do we share data with?

Your data is never sold and never used for advertising. It is only shared with parties needed to run the website and the service.

In practice that means the hosting provider Hostinger, which hosts the website and handles the email from the contact form. If a booking follows, data may also be shared with the party handling invoicing and with the accountant, and with public authorities where the law requires it.

7. Cookies and local storage

This website sets no cookies. No cookie banner is needed as a result.

Two things are stored locally in your browser. Both stay on your own device and are never sent anywhere.

When you click EN or NL in the menu, the site remembers that choice under the name site_lang. That preference only serves to show you the right language next time, and stays until you clear it.

When you submit the contact form, your browser briefly keeps your email address under the name tk_contact_email, so the confirmation can show which address to expect a reply at. Anyone who mistyped it notices straight away, instead of only when no answer ever arrives. It is cleared as soon as that confirmation has been shown, and disappears in any case when you close the tab.

You can clear both through your browser settings.

If you click a link to WhatsApp, Instagram, LinkedIn or Google yourself, you leave this website and that party's terms and privacy policy apply.

8. External services and analytics

This website loads nothing from external servers. All fonts, scripts, images and video are served from the website's own server. Simply viewing a page therefore sends none of your data to any third party.

For visitor statistics we use Matomo, on our own server. Matomo runs on tijlkerckhove.com and passes nothing on to any third party: your data therefore stays within this website. The measurement works without cookies. Nothing is placed on or read from your device, and you are not tracked across other websites. We measure which pages are visited, for how long, which source you arrive from, and whether the showreel is started or the contact form is sent. There are no tracking pixels and no advertising cookies.

Because nothing is placed on or read from your device for this measurement, no cookie banner is required. We process this data on the basis of our legitimate interest in knowing what is used on the site and being able to improve it.

If a service is added later that does place cookies or similar techniques on your device, or that passes data to a third party, this privacy policy will be updated in advance with the name of the service, what it processes and on what basis. For non-essential cookies or tracking techniques your consent will be requested first through a cookie banner, and you can always refuse it or withdraw it later.

9. Transfers outside the EEA

We keep processing within the European Economic Area as much as possible. If a service provider does process data outside the EEA, it happens only with appropriate safeguards, such as the European Commission's standard contractual clauses.

10. Security

The website is served entirely over a secure connection (HTTPS). Beyond that we take reasonable technical and organisational measures to protect your data against loss, misuse and unauthorised access. No online processing can guarantee absolute security.

11. Your rights

Within the limits of the law, you have the right to information, access, rectification, erasure, restriction of processing, data portability and to object to processing.

You can exercise those rights by emailing info@tijlkerckhove.com. We may ask you to confirm your identity before acting on your request, and will reply within one month.

12. Filing a complaint

If you are unhappy with how your data is handled, please get in touch first at info@tijlkerckhove.com.

You always have the right to lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, via dataprotectionauthority.be.

13. Changes

This privacy policy is updated whenever the website, the service or the legal obligations change. The date at the top shows when that last happened. The most recent version is always on this page.
